Parent teacher organizations: a step-by-step guide to start a successful group

With school budgets being trimmed down each year due to the bad financial situation, parent teacher associations are becoming crucial to ensure that the students receive the enrichment programs and supplies for a better learning experience. For achieving this, the PTOs have started putting more efforts for fundraising. Apart from collecting money for their basic requirements, PTOs are also working towards many other purposes such as, betterment of the teachers, schools, as well as the society. If you are one of those anxious parents who have such a noble cause and want to start a parent teacher association, here is a step-by-step guide that will help you.   • The initial step of starting a PTO is to form a group of interested parents who have common goals and ideas. For this, you will have to speak to some of the parents you know and think would be interested.
  • Once your goals are decided, you have to present them to the principal of the school. The educational institutions usually support the PTOs and therefore, you will get the required support from your school such as permission to hold the meetings in the school premises, using the school website to notify the parents of the meeting, and much more.
  • After getting the principal’s approval and opinion, consult the teachers. Start having informational meetings to generate ideas for fundraising. The more you brainstorm; the better will be your plan.
  • Draft your bylaws that will contain your mission statement, goals, and motives.  This should clearly explain the policies that your organization would adhere to such as fundraising, electing officers, establishing committees, collecting membership fees, etc. Your bylaws should also identify the responsibilities of all officers. Before drafting, check with the school authorities and find out if they require you to follow any school, state, or country policies.
  • Decide which responsibilities your PTO would handle and the events you would like to organize for reaching your financial goals. The standard ideas such as product sales, raffles, and operating school stores are always beneficial; however, any extra-ordinary ideas would certainly make your work much easier. You can speak to other PTO members and find out which fundraiser programs have been successful for them.
  • Prepare your budget that will involve all the costs that will be involved in the entire fundraising program as well the operating expenses of the PTO such as office supplies, postage, etc. Budgeting will help you to calculate your profits that you will use for achieving your goals.
  • After you have decided your fundraising strategy, choose the events or days you would target for this. Consider the students testing periods and teacher workdays while finalizing your plans. Schedule the activities according to the convenience of everyone.
  • Keep electing officers. Open the floor to nominations and allow campaigning, if you get more than one nomination for a post. While selecting the nominees, inform them that involving in a PTO is a time-consuming responsibility and inquire if they would be able to devote the time, energy, and interest that will be required for your goals.
